Terms & Conditions

Thank you for considering Flat Mate Property Services Ltd. for your cleaning and maintenance needs. These terms apply to every quote we issue — please review them alongside your written scope and price.
Quote Validity
A quote is valid for 28 days from the date of issuance, during which the prices outlined are upheld. After this period, prices may be subject to change.
Pricing and Payment
Payment is due net 7 days for residential projects and net 30 days for commercial and strata projects from the date of service completion. For larger projects, we establish a progress payment schedule in advance.
Payment can be made by cheque, credit card or e-transfer. Credit card transactions exceeding $1,000 incur a 3% processing fee. Please include your quote number on all payments.
Scope of Work
Services provided adhere to the description in your written quote. If our crew identifies additional work once on site, we'll inspect it, explain what we found, and provide a change order for your approval before proceeding — this may affect timelines or scope, and our team will contact you directly about any changes.
Cancellation Policy
Cancellations require 48 hours' notice before the scheduled service date to avoid a fee. Cancellations made with less than 48 hours' notice may incur a cancellation fee of 25% of the quoted price, to cover the resourcing and scheduling already committed to the visit. Changes to scope or rescheduling need at least 24 hours' notice.
Late Payment
Overdue balances are charged interest at 3% per month, calculated simply (not compounded), from the due date until paid in full. We'd rather talk through a payment concern than let it reach that point — contact our team if something's come up.
Insurance and Licensing
Flat Mate Property Services Ltd. is fully insured and licensed for the services we provide, with $5 million in liability coverage and current WorkSafeBC standing. Documentation is available on request.
Satisfaction Guarantee
Every job carries a 100% satisfaction guarantee: if something isn't right, tell us within 48 hours of completion and we'll come back and make it right at no extra cost. Roof cleaning additionally carries a moss-free guarantee, with its term confirmed in your written quote.
Client Responsibilities
Please ensure clear access to all service areas ahead of our arrival, including any permits needed for work in public or shared spaces. Clear outdoor items from the work area, secure pets, and let us know about anything we should be aware of on site.
